Connecting Field Service to Inventory in Odoo: Van Stock, Parts and Billing

For companies that both sell equipment and service it, the van is a warehouse on wheels. If the parts in it aren’t in the system, nobody knows what each technician carries, restocking is guesswork, and parts used on a job are billed late or not at all.

Odoo Field Service connects directly to Inventory, so a part used on site comes out of the right stock and lands on the right invoice. This guide shows how that works in Odoo 19, based on Odoo’s field service product management documentation, and what we did for a client with exactly this setup.

Field Service and Inventory in Odoo at a Glance

  1. A van can be a warehouse. Set a default warehouse per technician, so parts come out of the stock they carry.
  2. It needs storage locations. Turn on Storage Locations and keep more than one warehouse, such as the main site plus one per van.
  3. Parts used on site update stock. Time and Material Invoicing adds products to the task from a catalog and updates inventory in real time.
  4. The same parts reach the invoice. What the technician records is what the customer is billed for.
  5. One system, request to payment. For Controlled Key Systems, a Helpdesk ticket flows through work order and invoice to payment.

The Van as a Warehouse: User Default Warehouses

Odoo lets you set a default warehouse per user. Odoo’s documentation describes it as useful for technicians who keep a supply in their van, or who always restock from the same warehouse. Products on sales orders created during field interventions are pulled from that default warehouse, which keeps inventory accurate.

  • Turn on Storage Locations in Inventory settings.
  • Keep more than one warehouse, for example the main warehouse plus one per van.
  • Set each technician’s default warehouse; they can switch it from their own profile.

Recording Parts on the Job

Turn on Time and Material Invoicing in Field Service settings to give technicians a product catalog on each task. They open the Products smart button, add parts and adjust quantities, and the task shows the count and price. Odoo updates inventory in real time and adds the products to the invoice.

Restocking gets easier too. When each van’s stock is a warehouse in Odoo, you can see what every technician carries and refill vans from the main warehouse with ordinary transfers.

What We Did for Controlled Key Systems

Controlled Key Systems is a California-licensed lock and security equipment wholesaler and service provider. Before working with us, it ran QuickBooks Desktop Enterprise alongside a separate field service tool, with staff re-keying the same customer, job and inventory data in both.

  1. One system of record. We replaced QuickBooks and the legacy field service tool with a single Odoo Enterprise system.
  2. Every request tracked. Requests by phone, email, walk-in or web portal now become Helpdesk tickets.
  3. One flow to payment. Tickets move through quotation, approval, work order, e-signature, Avalara-calculated tax, invoicing and payment, with no re-keying.
  4. History brought across. Years of QuickBooks financial and inventory history were migrated and validated, with no disruption to operations.
