Managing an Auto Parts Catalog in Odoo: Variants, Vendor Pricelists and Bulk Imports

An auto parts catalog grows fast: thousands of part numbers, several suppliers for the same item, and price files that change every quarter. Without a clear structure, the same part ends up entered twice, buyers order from the wrong supplier, and the counter can’t trust what the system says is in stock.

This guide covers the three Odoo tools that keep a large parts catalog manageable in Odoo 19: product variants, vendor pricelists and bulk imports, and when to use each.

Auto Parts Catalogs in Odoo at a Glance

  1. One record per part. Duplicate parts are the root of most stock and ordering errors, so clean the catalog first.
  2. Variants for real variations. Use attributes when parts share one description and differ only by size, finish or similar.
  3. Vendor prices drive purchasing. They fill in RFQ and PO prices, and the top vendor is used for replenishment.
  4. Supplier files can be imported. Export a vendor pricelist, edit it, and import it back as XLSX or CSV.
  5. Fitment needs a plan. Make-model-year fitment isn’t standard Odoo; add it with attributes, fields or an integration.

Product Variants: When They Help and When They Don’t

In Odoo, a product template can have variants built from attributes and values. Each combination is its own variant, with its own inventory count and sales records. Turn on Variants in Sales › Configuration › Settings, then create attributes in Sales › Configuration › Attributes.

  • Good fit: the same part offered in several sizes, lengths or finishes, sold under one description.
  • Poor fit: parts that differ in function, supplier or vehicle fitment, which are clearer as separate products.
  • Watch the numbers: variants multiply. Four values of one attribute and five of another already make twenty variants.

Vendor Pricelists: Buying From the Right Supplier

Vendor prices sit on each product’s Purchase tab. They fill in the unit price automatically on requests for quotation and purchase orders, which removes a common source of buying errors. When reordering rules trigger, Odoo uses the vendor at the top of the list, so the order of vendors matters.

Put your preferred supplier first on every part. If the top vendor is out of date, automatic replenishment quietly sends orders to the wrong supplier.

Bulk Imports: Loading Supplier Price Files

  1. Export first. Go to Purchase › Configuration › Vendor Pricelists, select a few lines and export them, so you have a file with the right columns.
  2. Map the supplier’s file. Copy the supplier’s part numbers and prices into that template, matched to your products.
  3. Import as XLSX or CSV. Then spot-check a sample of parts on a test RFQ.
  4. Repeat each price change. Keep the template, so each new supplier file is a quick update.
