How Stripe Membership Subscriptions Work
Each membership tier maps to a Stripe subscription product, so the billing engine itself, not a staff member, owns the recurring charge:
- Member selects or upgrades a tier. From their own portal, without a staff member manually generating an invoice.
- Stripe creates and manages the subscription. Card storage, the recurring charge schedule, and receipts all run through Stripe rather than a manual process.
- Payment events sync back to the member record. A successful charge, a failed one, or a retry all update the same member record in Odoo used for onboarding and status.
- Renewal, retries and dunning happen automatically. A failed card retries on Stripe’s schedule with a dunning email, and the member only moves to lapsed after that grace period runs out.
Loyalty Built on Real Payment History
A loyalty program only means something if it reflects what actually happened. Instead of a manually updated points list, loyalty status is computed from the same subscription data Stripe already tracks:
- Tenure and consistency. How long a member has been subscribed, and whether renewals happened on schedule, feed directly into loyalty tier, without anyone updating a spreadsheet.
- Automatic tier rewards. Reaching a loyalty tier can apply a renewal discount or credit automatically at the next billing cycle, rather than requiring a staff member to remember to apply it.
- One source of truth. Because loyalty status is derived from the same payment records used for billing, there is no separate system that can drift out of sync with what a member actually paid.
What Happens When a Payment Fails
This is the part manual billing gets wrong most often: a single failed charge, often just an expired card, gets treated the same as a member who decided to leave. Stripe can handle it differently, and we set it up to. A failed payment triggers automatic retries (Smart Retries, which Stripe recommends at 8 tries within 2 weeks) and an email to the member with a link to update their card. Neither is on by default: both are switched on in Stripe’s settings. Only after the final retry fails does the subscription change state, and that is a setting too: Stripe can cancel it, mark it unpaid, leave it past due or pause it.
That grace period is the difference between losing a member over an expired card and simply prompting them to update it.
Built Into the Member Record, Not a Separate Billing System
Subscription and payment status sync to the same contact record in Odoo that already holds a member’s onboarding status, tier and directory information. Staff looking at a member’s profile see whether their subscription is active, in a retry grace period, or lapsed, in the same place they see everything else about that member, rather than needing to check a separate Stripe dashboard.
That single detail is what keeps this from becoming its own parallel system to maintain: onboarding, status, and billing all read from and write to one record.

Stripe handles the subscription lifecycle and payment processing; it isn’t a replacement for proper accounting. Revenue recognition, reconciliation and financial reporting still run through Odoo Accounting, with Stripe as the source of truth for what was actually charged and when.
Loyalty automation also doesn’t replace the relationship itself. Knowing a member has hit a loyalty milestone is a prompt for real outreach, a call, a personal note, an invitation, not a substitute for it.
