Controlled Key Systems runs a hybrid model that blends warehouse-based inventory with a mobile technician workforce: parts and hardware are stocked centrally, drawn down as technician van stock, and consumed on customer jobsites, all of which needs to stay reconciled with purchasing, invoicing, and accounting in real time.
Business Challenges
Before the engagement, Controlled Key Systems ran its operations on QuickBooks Desktop Enterprise alongside a separate legacy field service manager, two systems that had to be maintained and reconciled side by side, with no single place to see the full picture of the business.
Accounting, inventory, purchasing, and field operations lived in disconnected tools, with staff re-keying the same customer, job, and inventory data into each system by hand
QuickBooks Desktop could not deliver the modern reporting, dashboards, and user experience needed to scale, leaving management to fall back on manual exports and spreadsheets

Brazen Group designed and delivered a fully integrated Odoo Enterprise solution that replaced the QuickBooks-plus-legacy-FSM combination for Controlled Key Systems' wholesale, distribution, integration, and support services with one cloud-based system of record.

Automation at the Core
Where Controlled Key Systems previously relied on manual, re-typed handoffs between QuickBooks and its legacy field-service tool, the new Odoo platform is built around automated flow: incoming requests automatically become Helpdesk tickets, approved quotations automatically generate the invoice and work order, tax is calculated automatically at checkout, and completed jobs move straight into invoicing without anyone re-entering data by hand.
The Migration: Our Biggest Win
Moving years of live QuickBooks data, chart of accounts, customers, vendors, invoices, bills, payments, and inventory balances, including the related Access Systems Group and Family Trust records, into a new platform without disrupting active operations was the most technically demanding part of this project, and one of Brazen Group's proudest achievements on this engagement. A dedicated QuickBooks Connector and custom migration scripts handled the transfer, with a structured validation and reconciliation pass to confirm data integrity before cutover.
One Connected Service-Request-to-Payment Workflow
Every job now flows through a single, automated, traceable process end to end. A request coming in by phone, email, or walk-in automatically creates a ticket in the Odoo Helpdesk module, no manual logging required. A CSR reviews the ticket and converts it into a task in Field Service Management, then prepares and sends a quotation. Once the customer reviews and approves the quotation, it automatically converts into a work order and invoice. The technician completes the job, logs time sheets, and can add any additional items directly to the invoice. The customer signs off electronically using Odoo's e-signature tool, tax is calculated automatically through the Avalara integration, and payment status is tracked through to close-out.
New Omni-Channel Ticket Intake
Controlled Key Systems customers can now submit a service request through a dedicated web portal built on Odoo, or simply by email, both channels automatically generate a tracked ticket/work order in the system. This structured intake did not exist before and gives Controlled Key Systems full visibility into every request from the moment it arrives.
