What Is the Best ERP for Wholesale Distributors in the US? An Odoo Guide

The headline What Is the Best ERP for Wholesale Distributors in the US beside six steps, Quote, Reserve, Pick, Ship, Invoice and Collect, with the Brazen Group and Odoo Ready Partner logos

Search for the best ERP for wholesale distributors and you will find ranked lists. Many are written by firms that implement the systems they rank, or by directories that earn from leads, so each list tends to favor what its author sells. We implement Odoo, so we have a view too, and a ranking from us would be no more useful than the others.

This guide does something different. It sets out what a US distributor should test in any ERP, checks Odoo, NetSuite, Acumatica and Microsoft Dynamics 365 Business Central against what each vendor’s own pages say, and states plainly where Odoo needs care. Brazen Group implements Odoo and Salesforce. Everything we say about the other three systems comes from their public documentation, checked on October 20, 2026, not from implementing them.

If you want the broader picture of what Odoo does for a distributor first, start with our guide to Odoo ERP for wholesale distribution.

The Best ERP for US Wholesale Distributors at a Glance

  1. There is no single best ERP. The right one is the system that runs your hardest orders correctly, so test with your own orders instead of a generic demo.
  2. US compliance is a short list you can check. Sales tax by state and locality, check and ACH payments, and filing data. Odoo handles sales tax through Avalara AvaTax, but does not support excise tax.
  3. Inventory and scheduling are documented. Several warehouses, lot tracking, delivery times, reservation before the scheduled date and wave picking are all in Odoo 20’s documentation.
  4. Odoo needs care in three places. Retail X12 EDI is not documented as built in, excise tax is not supported, and very complex contract pricing should be proven in a demo.
  5. There is a US wholesaler to learn from. Controlled Key Systems replaced QuickBooks Desktop Enterprise and a separate field service tool with one Odoo Enterprise system.

Why There Is No Single Best ERP for US Wholesale Distributors

Distribution is not one business. A counter and trade counter operation, an importer with several warehouses and a route delivery company need different things from software. One directory organizes its guide by operating model, from counter sales to import led distribution, rather than naming a single winner, which is a fair way to look at it.

A more useful question is which ERP passes your own hardest orders. Here are the eight things we would test in any demo, from the first call to the last:

Eight things to test in any wholesale ERP demo: sales tax, customer pricing, multiple locations, lots and recalls, billing, delivery dates, EDI and landed cost.
Eight checks that apply to any wholesale ERP, Odoo included.

Three of them are specifically American, or matter more here: sales tax across states, counties and cities, EDI for the large customers that insist on it, and landed cost, which brings us to what has changed this year.

What Is Changing in 2026: Tariffs Put Landed Cost on the Agenda

New York Fed research published on February 12, 2026, as summarized by Distribution Strategy Group, found that about 90 percent of the economic burden of 2025 tariffs fell on US importers rather than foreign exporters, with the importer share running from 94 percent in the first eight months to 86 percent in November. For a distributor that imports, that means freight, duty and fees land in your product cost.

That makes cost visibility a selection criterion, not a nice to have. Ask each vendor to show the landed cost of one imported item, from supplier invoice to margin on a customer order. In Odoo, landed costs add freight, insurance and duty to product cost, and Odoo 20 lets you add them to individual products of a transfer. Our guide to landed costs for distributors shows how to set it up.

Odoo, NetSuite, Acumatica and Business Central, Compared on What Their Own Pages Say

Each line below comes from the vendor’s own documentation or datasheet, checked on October 20, 2026. We give no scores and no ranking, and we left out systems whose pages we could not review, such as Epicor Prophet 21. “Not confirmed” means we did not find it on the pages we reviewed, not that it is missing.

US sales tax

Odoo
Integrates with Avalara AvaTax for companies whose fiscal country is the United States, Canada or Brazil, with rates by state, county and city, jurisdiction boundaries, tax holidays and product exemptions. Excise tax is not supported. Odoo documentation.
NetSuite
A SuiteTax engine, plus partner tax engines including Avalara AvaTax and Vertex, with different engines available for different nexuses. NetSuite help.
Acumatica
Integrates with Avalara AvaTax through its Tax Providers form. Each saved document is sent to AvaTax for rates, and taxes on invoices are the ones reported. Acumatica help.
Business Central
Native US sales tax setup with tax areas, jurisdictions and tax groups, and an AvaTax extension from Avalara that requires its own Avalara licence. Microsoft Learn, Avalara.

Lot and serial tracking

Odoo
Products are tracked by lot or serial number. Lot numbers are assigned on receipt and chosen on delivery, which Odoo says helps trace items for recalls. Odoo documentation.
NetSuite
Lot numbered inventory items track the quantity and the specific cost for each lot. NetSuite help.
Acumatica
Lot and serial numbers can be assigned or entered at receiving, issuing and assembly, with attributes for each. Distribution Edition datasheet.
Business Central
Item tracking codes control serial, lot and package numbers, and warehouse tracking can be switched on so numbers can be assigned in warehouse activities. Microsoft Learn.

Multiple locations

Odoo
Each warehouse is its own record, and one can be resupplied from another through routes, reordering rules or make to order. Odoo documentation.
NetSuite
Multi Location Inventory ties each item and transaction to a location, with inventory transfers, transfer orders and replenishment by location. NetSuite help.
Acumatica
Shows available, allocated, on order and in transit inventory across warehouses and locations. Acumatica.
Business Central
Locations with bins, and warehouse configurations from basic put away and pick documents up to directed put away and pick. Microsoft Learn.

EDI with trading partners

Odoo
Documents an EDI style exchange of purchase orders in UBL XML between two Odoo databases, and warns other software may need custom development. Retail X12 documents are not described as built in. Odoo documentation.
NetSuite
Not confirmed on the NetSuite pages we reviewed.
Acumatica
Connects with EDI providers, and its Warehouse Management datasheet describes third party EDI software including the 856 advance ship notice. Acumatica, WMS datasheet.
Business Central
Offers an electronic documents feature for sending and receiving sales and purchase documents through a service provider. Classic trading partner EDI such as X12 is not described on the pages we reviewed. Microsoft Learn.

What this cannot show matters as much: price, implementation effort, partner quality, and how each system handles your particular rules. Features also depend on the edition or plan you buy, so ask every vendor to confirm in writing that what you need is included in what you are quoted.

US Compliance and Billing in Odoo: Sales Tax, Payments and Invoicing

Here is how one order moves through Odoo, and where the US specific pieces sit:

One order from quote to cash in Odoo: quote in Sales with pricelists and AvaTax, reserve, pick and ship in Inventory, then invoice and collect in Accounting, which is an Enterprise app.
Order to cash in Odoo. Accounting and Barcode scanning are Enterprise apps, according to Odoo’s editions page.

Sales tax

Odoo connects to Avalara AvaTax for companies whose fiscal country is the United States, Canada or Brazil. Odoo describes it as real time, region specific calculation that accounts for state, county and city rates, jurisdiction boundaries, tax holidays and product exemptions. There are two ways to buy it:

  • Avalara Included is an in app purchase for smaller businesses, with credit based pricing and a limit of 5,000 transactions a year, and Odoo provides first tier support.
  • Avalara Direct is a contract with Avalara for high volume or complex businesses, with custom volumes and direct Avalara support.

Return preparation, filing and tax remittance are add ons for both. Tax is calculated as documents move: when a quotation is confirmed or emailed, when a customer opens it in the portal, when a draft invoice is validated and at the final eCommerce checkout step. Two cautions. Excise tax, such as on tobacco, vape or fuel, is not supported. And the pages we reviewed do not describe customer exemption handling, so put your resale certificate process in the demo.

Payments and filing data

Odoo’s US localization lists modules for printing checks on preprinted check paper in three common layouts, exporting payments as NACHA files for ACH, and exporting 1099 data for filing through a third party. The page does not state which are Enterprise only, and Accounting itself is an Enterprise app, so confirm your payment and filing workflow against your edition.

Invoicing and collections

Odoo offers two invoicing policies: invoice on ordered quantities, or on delivered quantities, in which case Odoo adds the delivered and invoiced quantities to the order and tracks partial and complete deliveries. For collections, Odoo follow up levels send reminders by overdue days, automatically or manually, and a negative number of days sends a reminder before the due date. A customer statement is available from the customer form. Letters, WhatsApp and SMS need in app purchase credits. Odoo 20 adds customer invoice reminders that can be sent manually or automatically.

Inventory, Multiple Locations and Delivery Scheduling in Odoo

Several warehouses

Each warehouse in Odoo has its own record, and a Resupply From setting lets one be supplied by another through routes, reordering rules or make to order. Odoo 20 adds suggested minimum and maximum levels for reordering rules, based on demand history, the days of cover you want and how often you order, and better flows between companies, including delivering a sales order from another company’s warehouse.

Lots and recalls

With lot tracking switched on, a lot number must be assigned before a receipt is validated, and the delivery order selects the lots to ship. Odoo says this helps trace items back to their group for recalls. Odoo 20 also improves the traceability report to show upstream and downstream lots in one view.

Delivery scheduling

Scheduling is where promises are made, so it deserves a real test. Odoo gives each product a delivery time, the days from order confirmation to shipping, and a sales security lead time that adds a buffer. Together they suggest a delivery date, and Odoo warns you when you promise a date earlier than it can meet. Two more tools matter for busy warehouses:

  • Reservation before the scheduled date. Stock is reserved only once a delivery falls inside a window you set, so it stays free for other orders until shipping is near.
  • Wave transfers. A wave groups parts of different orders so one picker collects them in a single trip and they are sorted afterwards.

For carriers, Odoo 20 documents integrations including UPS, FedEx, USPS and DHL, and a ShipStation connector. Barcode scanning in the warehouse is an Enterprise app; see barcode receiving and picking for auto parts distributors for how it works in practice.

Where Odoo Needs Care for a US Distributor

An honest guide says where its own product is weaker. These are the places to push hardest in a demo:

  • Retail EDI. Odoo documents a UBL XML purchase order exchange between two Odoo databases, and warns that other software may need custom development. X12 documents such as the 850, 810 and 856 are not described as built in. If large customers require them, list every trading partner and document type early, and plan for an EDI provider and a connector.
  • Excise tax. The AvaTax integration does not support it, which matters if you distribute fuel, tobacco or vape products.
  • Complex pricing and allocation. Pricelists have discount, formula and fixed price rules, applied from most to least specific, with minimum quantities and dates, and Odoo 20 adds rules for set periods or days of the week and for packaging types. If you rely on retroactive rebates, contract matrices or allocating stock across several distribution centers, build those cases into the demo.
  • Edition and credits. Accounting, Barcode, Documents and Sign are Enterprise only, and some services, such as letters, SMS and AI features, use in app purchase credits.

One directory warns that heavy EDI, complex contract pricing or allocation across several distribution centers push Odoo past its comfort zone. The EDI point matches Odoo’s own documentation. The other two depend on how complex your rules are, which is exactly what a scripted demo with your orders will show.

Proof From a US Wholesaler: Controlled Key Systems

Controlled Key Systems is a Southern California supplier of lock and security equipment that also installs and services what it sells. It ran on QuickBooks Desktop Enterprise and a separate field service tool, with staff rekeying the same customer, job and inventory data into each. Brazen Group replaced both with one Odoo Enterprise system covering inventory and purchasing, sales, invoicing and accounting, and field service. The published case study reports:

  • A validated migration of QuickBooks financial and inventory history with no disruption to operations.
  • One workflow from first contact to payment, with sales tax calculated through the Avalara integration and no rekeying.
  • Management reporting on margin, sales funnel, tickets and technician efficiency that did not exist under QuickBooks.

One case study is not a track record across every kind of distributor. It is the wholesaler we can name. Ask any partner, including us, for references from businesses like yours.

How to Run a Fair ERP Evaluation in Five Steps

  1. Write down your ten hardest orders. Include a multistate tax order, a customer with a special price, a partial shipment with a backorder, an imported item with freight and duty, a lot recall, a transfer between locations, a return, a dropship and an order from a customer that requires EDI.
  2. Shortlist two or three systems. Choose ones that fit your size, number of locations and how you sell. Ten demos teach you less than three good ones.
  3. Run a scripted demo on your own data. Give every vendor the same ten orders and score each on the same sheet. A generic demo shows what the software can do, not what it will do for you.
  4. Talk to references like you. Ask for distributors of similar size and model, and ask what they would do differently.
  5. Compare total cost over several years. Count licences, implementation, the tax engine, any EDI provider, connectors, training and support. Ask for written quotes on the same scope.

Ask every vendor, including us, to show your hardest order running end to end. The vendors that agree are the ones to keep talking to.

Moving From QuickBooks to Odoo: What a Distributor Should Plan

Many US distributors start on QuickBooks, and the move is more than transferring accounting records. Plan for item records and units of measure, open purchase and sales orders, stock balances and values, pricelists, and each customer’s tax settings. Decide early how much history to bring, and reconcile stock and money against a cutover date.

QuickBooks Desktop data often needs a technical extraction step. See getting ODBC connectivity right, rebuilding custom reports and our overview of why businesses migrate from QuickBooks to Odoo.

What Odoo 20 Adds for Distributors

If you are choosing now, you will be choosing Odoo 20. Among the changes in its release notes that matter to distributors:

  • Suggested minimum and maximum levels for reordering rules, from demand history.
  • Landed costs on individual products of a transfer, and a stock aging report.
  • A ShipStation connector for rates, labels and tracking.
  • Pricelist rules for set periods or days of the week, and price rules by packaging type.
  • Batch receipts suggested for a vendor with several expected receipts, and bulk lot and serial generation in Barcode.
  • An expected arrival date you can edit on a purchase order while keeping the vendor’s original date, so on time rates stay honest.

Our Odoo 20 guide covers the rest and when to upgrade from an older version.

Best ERP for Wholesale Distributors in the US: FAQ

What is the best ERP system for wholesale distributors in the US?

There is no single best one. The right ERP depends on your size, number of locations, how you price, whether you sell to retailers that require EDI, and your budget. Shortlist two or three systems that fit, then test each with your own hardest orders. Odoo suits distributors that want sales, stock, purchasing and accounting in one system and that are comfortable adding a connector for retail EDI.

Is Odoo good for wholesale distribution?

It can be. Odoo documents customer pricelists, several warehouses with resupply between them, lot tracking, reordering rules, delivery scheduling, invoicing from delivered quantities and US sales tax through Avalara. It needs care for retail X12 EDI, excise taxes and very complex contract pricing, which a scripted demo with your own orders will show.

Does Odoo handle US sales tax?

Yes, through an integration with Avalara AvaTax for companies whose fiscal country is the United States, Canada or Brazil. Odoo documents rates by state, county and city, jurisdiction boundaries, tax holidays and product exemptions. Excise tax, such as on tobacco, vape or fuel, is not supported, and return filing and tax remittance are add ons.

Does Odoo support EDI with US retailers?

Odoo documents an EDI style exchange of purchase orders in UBL XML between two Odoo databases, and warns that other software may need custom development. It does not document built in X12 documents such as the 850, 810 and 856, so plan for an EDI provider and a connector if your customers require them.

Can Odoo manage several warehouses?

Yes. Each warehouse is its own record, and one can be resupplied from another through routes, reordering rules or make to order. Odoo 20 also suggests minimum and maximum stock levels from demand history and improves resupply between companies.

Does Odoo support lot tracking and recalls?

Yes. Products can be tracked by lot or serial number, lot numbers are assigned when stock is received and chosen on the delivery, and Odoo describes this as a way to trace items back to their group for product recalls.

Do we need Odoo Enterprise?

Most distributors do. According to Odoo’s editions page, Sales, Inventory and Purchase are in both editions, while Accounting, Barcode, Documents and Sign are Enterprise only. Since distributors usually want accounting and scanning in the same system, check the editions page against your list before you plan.

How much does an ERP for a wholesale distributor cost?

It depends on users, apps, edition, integrations, data migration and support, and we do not publish prices. Ask each vendor for a written quote on the same scope and compare the total over several years, including the tax engine, any EDI provider, connectors, training and ongoing support.

Can a distributor move from QuickBooks to Odoo?

Yes. Controlled Key Systems, a Southern California wholesaler, replaced QuickBooks Desktop Enterprise and a separate field service tool with Odoo Enterprise, and its published case study reports a validated migration of QuickBooks financial and inventory history with no disruption to operations.
